Summary

The Customs Exceptions page is designed to display messages that failed to automatically link to a vessel visit or have been unlinked from a vessel visit by a user.

The purpose of this page is to allow users to review the exceptions and manually link them to a vessel visit. Users can link messages to any vessel visit in the dashboard, whether the vessel is incomplete, complete, or cancelled.

User Process

Before proceeding to link a CEDO message to a vessel visit, users should check and/or update the vessel visit information in the Dashboard. Users should:

  1. Check if Vessel Visits have the correct Vessel names and Voyage numbers.

  2. Correct any potential vessel detail discrepancies so that CEDOs can automatically link to the vessel visit.

  3. Consider whether to wait for missing vessel visits to be automatically created (via the vessel schedule) or whether to manually add the missing vessel visit.

Display Exceptions Records

All exceptions are displayed at the item level. If an item is linked to a vessel, all other items on the same CDO (Customs Declaration) are also linked to that vessel, as linking occurs at the CDO level.

Filters

Date Filter

The date range shows by default the first and last day of the received messages (exception messages).

The user can filter messages displayed by Container, BBK, Cargo, Vehicle

Vessel Filter

The list of vessels shown in the drop-down list are derived from the vessel names found in the messages displayed. This is not a vessel visit search, it only searches for vessel / voyage in the messages, it allows the user to easily identify exception messages by vessel name.

Clearance Destination Filter

Users can select a Clearance Destination form the drop-down list, for Port of Tauranga this is the Mount or Sulphur Point. BBMS is configured to show Mount as default.

Keyword Search Filter

This is text search; users can cut and paste values from a spreadsheet i.e. Cargo Items (one or more container numbers/BOLs), BBMS searches both Cargo Item and Container Number columns for a match.

Assigning Exceptions to a vessel

The screen displays all the exception messages, these are messages that failed to automatically match to a vessel visit. Each exception message will display the reason why message was not originally matched.

Exceptions can be manually assigned to a selected vessel (vessels in the select box are from the dashboard page).

The steps to manually assign an exception message to a vessel visit are:

a. Tick the box next to the exception message from the exception records list

b. Look for the vessel visit on the vessel visit search and make sure vessel visit is correct (both Vessel and Voyage number matches)

c. Click on assign to vessel visit

d. When it’s assigned the customs exception is removed from the screen and can now be view on the Customs page.

A manual vessel visit can be added by clicking on “Add vessel visit“ and manually enter details
